Microschool Ledger wasn't designed in the abstract — it was built inside The Grow Co-op to solve the school's own tuition, scholarship, and collections problems first. Rajeev Arora, Grow's co-founder and head of administration, built and still runs the system that manages Grow's entire financial year.

Grow's model is representative of the broader annual-tuition homeschool co-op and microschool segment Microschool Ledger serves: multi-cohort enrollment, sibling pricing, a mix of direct payments and Florida Step-Up scholarship credits, and a small administrative team wearing several hats.

What actually runs on Microschool Ledger

Nine workflows, one connected system.

This is what Grow's administrators use week to week — not a features list, but the actual jobs the system replaced.

Family records & billing schedules

Grow's three cohorts — Maples (K–2), Palms (3–5), and Oaks (6–8) — each carry their own tuition and payment schedule. Enrollment, sibling relationships, and program assignments stay attached to one family record instead of a separate enrollment spreadsheet.

Invoices & family balances

Every family has a running balance built from itemized charges — tuition, Thursday Enrichment, field trips — instead of a hand-built invoice recreated every billing cycle.

Online payments through the portal

Families pay tuition by card, ACH, or Apple Pay directly through their portal account, with autopay available for recurring monthly charges — replacing checks collected by hand.

Step-Up tracking & reconciliation

Grow accepts PEP, FES-EO, and FES-UA Florida scholarships. Step-Up portal exports are pasted directly into Microschool Ledger, matched to the right family by student sequence number, and applied to the same balance as direct payments.

Parent self-service access

Parents sign in to see their current balance, itemized invoices, and full payment history at any time, and can generate their own statements for Step-Up documentation — without emailing the school office.

Field trips: RSVP & charges

Field trips are set up with a capacity limit; families RSVP through the portal and move to a waitlist automatically once a trip fills. Confirmed attendees are charged directly to their family balance.

A second parent or guardian

Two-household families can give a second parent or guardian their own portal sign-in — the same balance and payment history, without funneling everything through one parent's inbox.

Collections visibility & reminders

Administrators can see which families could use a follow-up this month, and send a reviewed reminder rather than tracking overdue balances from memory or a manual list.

Replacing disconnected spreadsheets

Before Microschool Ledger, running a school year meant a tuition spreadsheet, a separate Step-Up export, and manual cross-referencing to confirm who had actually paid. Grow now runs that whole picture from one connected system.
