Family portal guide

Give families answers—before they need to ask.

One calm, self-service place where parents can understand what they owe, find an invoice, pay online, handle field trips, and keep their household information current.

Passwordless access · Mobile-friendly · Built for real school-family relationships
A clearer family experience

Everything starts with one understandable account.

Families see the same connected picture your school sees: what each student is enrolled in, what has been charged, what has been paid directly or through a scholarship, and what remains.

No new password to remember.

A parent signs in with an email address already connected to the family. Your school does not have to manage another list of passwords or chase a separate portal invitation.

Invoices & payments

From “What do I owe?” to paid—in the same place.

The portal keeps the explanation beside the action. Families can review their account first, then find the right invoice or make a payment without waiting for your staff to resend anything.

See the full account story

Parents can look beyond a single balance and understand how the family arrived there.

  • Current balance and total paid
  • Charges organized by student and program
  • Direct payments and Florida Step-Up for Students credits
  • Payment history across school years

Open and print invoices

Families can pull up invoices when they need them for their own records or scholarship documentation.

  • Self-service invoice access
  • Clear program and student detail
  • Printable documentation without an admin email
  • School-specific payment instructions

Pay online

Families can move from reviewing their balance to paying it without leaving the account.

  • Credit and debit cards through Stripe
  • ACH bank transfer
  • Apple Pay and Google Pay on supported devices
  • Autopay for recurring tuition charges

Pay without signing in

When speed matters, your school can send a secure payment link that opens the family’s current balance directly.

  • No-login payment page
  • Current balance shown at the time the link opens
  • Useful in reminders and invoice emails
  • A few taps from message to payment
Field trips & events

Families can decide, RSVP, and pay without a separate form.

Upcoming experiences live beside the family account, so trip details and financial details stay connected.

Review the trip

Parents see the date, description, cost, capacity, and the students who are eligible.

Choose who is attending

The family RSVPs for the appropriate student without your staff copying names from another tool.

Pay the trip charge

When payment is required, the family can handle it as part of the same clear flow.

Join the waitlist

If a trip reaches capacity, overflow moves to an automatic waitlist instead of an admin-managed queue.

Real family structures

One family record can support more than one parent.

Two-household and shared-care families should not have to funnel every account question through one person. Your school can authorize more than one parent email, giving each parent a separate sign-in to the same family account.

Separate access. One source of truth.

Each authorized parent sees the same balances, invoices, payments, and family activity—without duplicating the family record.

Families can keep their own information current

The My Info area lets parents review and correct the household details your school relies on.

  • Parent and guardian names
  • Primary and additional email addresses
  • Phone numbers and mailing address
  • Second guardian information
  • Communication preferences

Before a new school year, your school can also send a private “Confirm your family info” link to every family and test the campaign with one household first.

What your school gets back

Self-service for families means fewer interruptions for staff.

The portal is not a separate communication project. It is the family-facing side of the same billing, enrollment, trip, and household information your school already manages in Microschool Ledger.

  • Fewer repetitive account emails Families can answer common balance, invoice, and payment questions themselves.
  • Cleaner records Household corrections flow back into the information your staff uses.
  • Field trips stay connected RSVPs, capacity, charges, and payments remain part of one system.
  • A more confident family experience Parents can see what happened, what is next, and what they can do about it.
